GoHighLevel pipeline setup guide with stage examples

GoHighLevel Pipeline Setup: Stages, Examples & Automations

October 28, 2026•3 min read

A clear pipeline is the heart of GoHighLevel. It shows every lead, where they are and what needs to happen next. A messy pipeline means lost deals and guesswork. This guide shows how to set up a GoHighLevel pipeline step by step, with ready-to-use stage examples for common businesses.

Pipelines and opportunities in GoHighLevel

A pipeline is a set of stages a deal moves through, from new lead to won or lost. Each deal is an opportunity, linked to a contact, with a value, an owner and a status (open, won, lost or abandoned). You will find them under Opportunities in your sub-account.

How to set up a GoHighLevel pipeline

  1. Map your real sales process first. Write down what actually happens from first contact to paid customer. Keep it to 5 to 8 stages.

  2. Create the pipeline. In Opportunities, open Pipelines and add a new pipeline with your stages in order.

  3. Add opportunity values. Even rough values let you see your pipeline worth and forecast revenue.

  4. Set owners. Assign every opportunity to a team member, manually or with a workflow (for example round-robin).

  5. Add custom fields for the details you need to qualify a lead (budget, service, location, timeline).

  6. Automate the moves. Use workflows to create opportunities from forms and calls, and to move them when appointments are booked, missed or completed.

  7. Review it weekly. Look for deals stuck in one stage and fix the follow-up that is missing.

Pipeline stage examples you can copy

Local service business (plumber, HVAC, roofer, cleaner)

New lead → Contacted → Estimate booked → Estimate sent → Won → Lost

Clinic, dentist or med spa

New enquiry → Contacted → Consultation booked → Showed → Treatment booked → No-show → Lost

Coach or consultant

New lead → Call booked → Call completed → Proposal sent → Won → Not ready (nurture) → Lost

Marketing agency

New lead → Discovery call → Proposal sent → Negotiation → Won → Onboarding → Lost

Real estate

New lead → Contacted → Appointment set → Showing / valuation → Offer or listing → Under contract → Closed → Lost

Automations to connect to your pipeline

  • Form submitted: create an opportunity in "New lead" and start speed-to-lead follow-up.

  • Appointment booked: move to "Call booked" or "Estimate booked" and send reminders.

  • No-show: move to "No-show" and send a rebooking message.

  • Stuck too long: if a deal sits in "Proposal sent" for several days, create a task and send a follow-up.

  • Won: send a thank-you, start onboarding and ask for a review.

  • Lost: record the lost reason and add the contact to a long-term nurture.

Common GoHighLevel pipeline mistakes

  • Too many stages: nobody keeps 15 stages up to date. Fewer, clearer stages win.

  • Several pipelines for one process: it splits your reporting. Use one pipeline per sales process, not per team member.

  • No values or owners: you cannot forecast or hold anyone accountable.

  • Moving cards by hand only: the board goes out of date. Let workflows move cards when events happen.

  • Never marking deals lost: old deals clog the board and hide the real numbers.

Frequently asked questions

How many pipelines should I have in GoHighLevel?

One per sales process. Many businesses only need one. Agencies often have a sales pipeline and a separate onboarding pipeline.

What is the difference between a pipeline stage and an opportunity status?

The stage shows where the deal is in your process. The status (open, won, lost, abandoned) shows whether it is still active.

Can GoHighLevel move opportunities automatically?

Yes. Workflows can create opportunities and move them between stages based on forms, bookings, replies, payments and more.

Can you set up my GoHighLevel pipeline for me?

Yes. GHL Expertise designs and builds pipelines with the automations around them as part of our GoHighLevel services. If you want it ready to import, we can also deliver it as a custom snapshot.
