GoHighLevel Voice AI: set up an AI receptionist - GHL Expertise

GoHighLevel Voice AI: How to Set Up an AI Receptionist (2026 Guide)

October 28, 2026•7 min read

A Voice AI agent in GoHighLevel can answer your phone, answer common questions, book appointments into your calendar and transfer callers to a person when needed, at any hour. Set up well, it stops missed calls turning into missed customers. Set up badly, it frustrates callers.

This guide walks through building a GoHighLevel Voice AI receptionist step by step, based on HighLevel's own setup process, plus the testing and outbound calling rules most people miss.

What GoHighLevel Voice AI can do

  • Answer inbound calls on an LC Phone, Twilio or Number Pool number, all day or only after hours

  • Answer questions from a knowledge base with your hours, services, prices and policies

  • Book appointments directly into a connected calendar

  • Transfer calls to a team member, or hand over to another Voice AI agent

  • Update contact fields with what the caller tells it, and send an SMS during the call

  • Trigger workflows and send call summaries after the call

  • Make outbound calls from a workflow, with extra compliance rules (covered below)

Before you start

  • Access to the sub-account, with permission to view and manage Voice AI agents

  • A phone number in the account (LC Phone, Twilio or a Number Pool)

  • A calendar set up with your real availability, if you want the agent to book

  • Your business facts written down: hours, services, prices, service area, policies and the top questions callers ask

Step 1: Create the agent

In your sub-account, go to AI Agents, then Voice AI, open the Agent List tab and click Create Agent. You can start from the marketplace, build a custom agent, or use the flow-based builder. For a receptionist, a custom agent gives you the most control.

Set the agent name, voice, model, language and timezone. Pick a voice that suits your brand and listen to a sample before moving on.

Step 2: Write a clear prompt

The prompt is the agent's job description. HighLevel's guidance is to cover the role and goal, the information to collect, allowed and prohibited topics, when actions should run, when to transfer, and how to end the call. It also recommends telling the agent not to guess when it does not know.

A simple structure that works:

  1. Role: "You are the receptionist for [Business], a [type of business] in [city]."

  2. Goal: "Answer questions and book a [service] appointment."

  3. Collect: name, phone, email and the reason for the call

  4. Rules: no medical, legal or pricing promises beyond the knowledge base; never make up information

  5. Transfer: when the caller asks for a person, is upset, or has an emergency

  6. Close: confirm the booking or next step, then thank them and end the call

Then set the welcome message, for example: "Thanks for calling [Business], this is [name], the virtual assistant. How can I help today?" Being upfront that it is an AI assistant builds trust.

Step 3: Add a knowledge base

Connect a knowledge base and add your real information: hours, services, prices or price ranges, locations, policies and FAQs. Tell the agent when to search it. Most wrong answers come from missing information here, not from the AI itself.

Step 4: Add actions

Actions are what make the agent useful. HighLevel offers:

  • Appointment Booking: connect your calendar so the agent can offer real time slots

  • Call Transfer: send the caller to a team member's phone

  • Agent Transfer: hand over to another Voice AI agent (for example, sales vs support)

  • Update Contact Field: save details such as service needed or budget

  • Send SMS: text a booking link or address during the call

  • Trigger a Workflow: start any GoHighLevel automation

  • Custom Action: send a webhook to another system

For each action, write a clear trigger condition, such as "when the caller agrees to a time" or "when the caller asks to speak to a person".

Step 5: Tune the advanced settings

Under the advanced settings you can adjust call length, silence handling, how quickly the agent responds, how easily callers can interrupt it, and what happens after the call (notifications, summaries, workflows). Change one setting at a time and test again.

Step 6: Test properly

Use the built-in test panel. A web call tests the conversation in your browser; a phone call tests the full phone setup. Note from HighLevel's documentation: call transfers do not run in web call tests, so always do at least one real phone test.

Test these before going live:

  • The five questions callers ask most

  • A question that is not in the knowledge base (it should not guess)

  • A full booking, then check the calendar and contact record

  • A request to speak to a person (the transfer should work)

  • Silence, interruptions and a caller who changes their mind

After each test, read the transcript, summary and action results in the call logs.

Step 7: Deploy it

On the Deploy tab, choose the phone number, then decide how calls reach the agent:

  • Answer calls directly: the agent picks up every call

  • Use as backup: your team answers first, and the agent takes calls they miss

Set working hours (all hours, or a custom schedule such as evenings and weekends). Then make a live call from an outside phone and check the call log. HighLevel notes that assigning a number does not guarantee every call reaches the agent, because routing and call-flow settings also apply, so check those too.

Outbound Voice AI calls: the rules

Voice AI can also call contacts from a workflow, using the Voice AI Outbound Call action. HighLevel's documentation sets clear limits:

  • Outbound calls must be placed from a workflow, and the location must accept the outbound calling terms

  • Up to 5,000 outbound calls per location per day, and up to 10 calls per minute

  • Each phone number can be called once per day and up to 14 times in 14 days

  • Calls are scheduled between 8 AM and 8 PM in the contact's timezone

  • Only supported same-country domestic numbers can be called

Most importantly, Voice AI does not check whether a contact agreed to be called. Consent, opt-outs and calling laws are the business's responsibility. Only call people who asked to hear from you.

What it costs

Voice AI is billed separately from your HighLevel plan, either by usage or through a monthly AI plan, and phone minutes are charged on top. Pricing changes often, so check the current rates in your account's billing settings before you launch.

Common Voice AI mistakes

  • No knowledge base, so the agent guesses

  • A long, unfocused prompt that tries to do everything

  • No transfer rule, so upset callers get stuck

  • Booking into a calendar with wrong availability

  • Only testing in the browser, so transfers fail on real calls

  • Launching outbound calls to contacts who never gave consent

Frequently asked questions

Can GoHighLevel Voice AI book appointments?

Yes. Add an Appointment Booking action and connect a calendar. The agent offers available times and books the caller in.

Can it transfer calls to a real person?

Yes, with a Call Transfer action. Test it with a real phone call, because transfers do not run in browser web-call tests.

Can I use it only after hours?

Yes. Set custom working hours on the Deploy tab, or use it as a backup that only answers when your team misses a call.

Is it legal to make outbound AI calls?

HighLevel requires you to accept its outbound calling terms, and you are responsible for consent and calling laws where your contacts live. Only call contacts who agreed to be contacted.
