How to Hire a GoHighLevel Expert: 12 Questions to Ask (and Red Flags)
Hiring a GoHighLevel expert can save you weeks of trial and error, or it can leave you with a half-built account that someone else has to fix. The difference usually comes down to the questions you ask before you pay.
This guide gives you 12 questions to ask any GoHighLevel (GHL) expert or agency, the red flags to watch for, and what a good GoHighLevel build should include when it is handed over to you.
What a GoHighLevel expert actually does
A GoHighLevel expert sets up, fixes or manages the parts of HighLevel that most business owners do not have time to learn. That usually includes:
Account and sub-account setup, including your domain, email sending domain and phone numbers
A2P 10DLC registration so your text messages are delivered in the US
Pipelines, calendars, forms and custom fields that match how you actually sell
Workflows and automations for follow-up, reminders, no-shows and reviews
Funnels, websites and booking pages connected to your CRM
Conversation AI and Voice AI agents that answer and book around the clock
Integrations with tools such as Zapier, Make, n8n or Stripe
Not every expert does all of these well. Some are funnel designers, some are automation specialists, and some mainly do support. The questions below help you find out which kind you are talking to.
12 questions to ask before you hire
1. How long have you worked inside GoHighLevel, and in what role?
Time in the platform matters, but so does the kind of work. Someone who has done support tickets has seen hundreds of broken accounts. Someone who has only built funnels may never have touched A2P or email deliverability. Ask what they did, not just how long.
2. Can you show me two or three builds similar to mine?
Ask for screenshots or a short screen recording of real work: a pipeline, a workflow, a booking funnel. Names can be hidden. If everything they show is a template or a mock-up, ask why.
3. What will you build, exactly?
A good expert gives you a written scope: which pipelines, which workflows, how many funnel pages, which integrations. "Full GHL setup" on its own is not a scope. A clear scope protects both of you.
4. Who owns the account?
The account, domain and phone numbers should be in your name, or in your agency's name if you are an agency. Be careful if someone wants to build everything inside their own agency account with no plan for moving it to you.
5. How do you handle A2P 10DLC registration?
If you text US contacts, your brand and campaign need to be registered, and carriers make the final decision. HighLevel's own help documents list the usual reasons for rejection: business details that do not match, vague campaign descriptions, unrealistic sample messages, opt-in that cannot be verified, and missing privacy or terms pages. An expert should explain how they will avoid those, not just "submit it for you". If yours was already rejected, read our guide on fixing a rejected A2P registration.
6. How will you set up email so it reaches the inbox?
Listen for a dedicated sending domain (for example mail.yourbusiness.com), SPF, DKIM and DMARC records, and a warm-up plan for a new domain. HighLevel's own guidance recommends a dedicated sending domain per sub-account and a gradual warm-up over roughly four weeks.
7. Will you document what you build?
You should get a short handover document or video: what each workflow does, which tags and fields it uses, and what to change if your offer changes. Without this, the next person who touches your account starts from zero.
8. How do you test before going live?
Ask how they test forms, bookings, reminders, missed-call text-back and AI agents. The best answer is specific: "We submit test leads, book test appointments, miss test calls and check every message and pipeline move."
9. What happens if something breaks after launch?
Ask whether fixes are included for a period after launch, and what ongoing support costs. Changes to GoHighLevel, carriers or your offer will mean small updates over time.
10. What will this cost, and what is not included?
Get a fixed price or a clear hourly estimate, plus a list of what is extra: HighLevel subscription, phone and messaging usage, A2P fees, AI usage and paid integrations. For typical ranges, see how much a GoHighLevel expert costs.
11. Will you work under my brand?
If you are an agency, ask whether they can work white-label, never contacting your clients unless you want them to. Our white-label fulfilment guide covers how this usually works.
12. How will we communicate, and how fast do you reply?
Time zones, response times and the channel you will use (email, Slack, WhatsApp) matter more than people expect, especially during launch week.
Red flags to watch for
Guaranteed A2P approval. Carriers decide, not the expert. A good expert improves your chances; nobody can guarantee the result.
No written scope. If it is not written down, it is easy to argue about later.
Building inside their account with no transfer plan. You could lose your funnels, contacts and automations if you part ways.
Only templates in the portfolio. Snapshots are useful, but your business still needs them adapted.
No testing step. Untested automations are the most common reason accounts "do not work".
Very low prices for a full build. A complete setup with automations and A2P is several days of work. A very cheap quote usually means something is being skipped.
What a good GoHighLevel build includes at handover
Your domain, sending domain and phone numbers connected and working
A2P brand and campaign submitted with compliant forms and policy pages
Pipelines and calendars that match your sales process
Lead follow-up, reminders, no-show and review workflows, all tested
Funnels or booking pages connected to the CRM
A handover document or recorded walkthrough
Logins and ownership confirmed in your name
DIY or hire?
If you have time to learn and a simple setup, doing it yourself is realistic. If you need texting, email deliverability, AI agents and several automations live within a couple of weeks, hiring usually costs less than the leads you lose while you learn. We compare both in DIY vs done-for-you GoHighLevel.
Frequently asked questions
Is a HighLevel certification important?
It shows the person has passed HighLevel's own training, which is a good sign. It is not a replacement for real builds you can see, so ask for both.
How long does a typical GoHighLevel setup take?
A standard setup usually takes a few days to two weeks depending on how many funnels, workflows and integrations you need. A2P approval can add time because carriers review it.
Should I hire a freelancer or an agency?
A freelancer can be great for a defined project. An agency or small team is better if you need ongoing changes, white-label work or several skills at once (automation, design, AI, ads).
Can an expert fix an account someone else built?
Yes. Ask for an audit first: a list of what is broken, what is missing and what it will cost to fix, before any changes are made.
