Thinking of Switching From GoHighLevel? Fix These 7 Problems First

October 28, 2026•6 min read

If you are searching for ways to switch from GoHighLevel, something is probably not working: texts are not being delivered, emails land in spam, automations fire at the wrong time, or the bill keeps growing. Those are real problems. But in most accounts we audit, they come from how the account was set up, not from the platform itself.

Moving CRMs means rebuilding funnels, automations, calendars and contact history, and retraining your team. Before you do that, check these seven common problems. If they can be fixed, you may not need to switch at all.

1. Your text messages are not being delivered

This is the number one reason people give up on GoHighLevel. In the US, business texts from local 10-digit numbers need an approved A2P 10DLC brand and campaign. HighLevel's help center says a number should be linked to an approved campaign before you send SMS or MMS, and that carriers make the final decision.

How to check: open Settings, then Phone System, then Trust Center, and look at your brand and campaign status. If either was rejected, HighLevel shows the required fixes there.

Common fixes: matching your legal business name and EIN exactly, rewriting the campaign description, using realistic sample messages, adding consent wording to your forms, and making sure your privacy policy and terms pages are live. Step-by-step help: how to fix a rejected A2P registration.

2. Your emails go to spam

Most spam problems come from sending without your own domain set up. HighLevel recommends a dedicated sending domain for each sub-account, SPF, DKIM and DMARC records, and warming up a new domain gradually. Its own warm-up guidance starts at up to 100 emails an hour and 1,000 a day, and the full warm-up takes around four weeks.

How to check: look at which domain your emails are sent from, and whether a DMARC record exists for it. If you send big broadcasts from a brand-new domain to an old list, that alone can explain poor inbox placement.

Common fixes: set up a sending subdomain (for example mail.yourbusiness.com), add the DNS records, clean the list, send to engaged contacts first, and increase volume slowly.

3. Automations fire twice, too early or not at all

Duplicate or missing messages usually come from overlapping workflows: two workflows using the same trigger, re-entry turned on when it should not be, or old test workflows still published.

How to check: list every published workflow, its trigger and its goal. Look at the execution history for one contact who got the wrong message.

Common fixes: one clear workflow per job, re-entry rules set on purpose, goal events that stop follow-up when someone books or replies, and unused workflows moved to draft.

4. Leads are lost or the pipeline is a mess

If nobody trusts the pipeline, people stop using it. This happens when stages do not match how you actually sell, or when forms and calendars do not move contacts automatically.

Common fixes: rebuild the pipeline around your real steps (new lead, contacted, booked, showed, won, lost), connect forms and calendars to it, and add a daily task or notification for leads that have not been contacted.

5. Missed calls and no-shows are costing you

Missed-call text-back and appointment reminders are two of the quickest wins in GoHighLevel, but they are often switched off or broken. See our step-by-step missed call text back setup and add confirmation and reminder messages to every calendar.

6. The AI bot gives wrong or strange answers

Conversation AI and Voice AI only know what you give them. Vague prompts and an empty knowledge base lead to guessing. HighLevel's own Voice AI guidance says to tell the agent not to guess when information is missing, and to test common questions and edge cases before launch.

Common fixes: a focused prompt, a knowledge base with your real hours, services, prices and policies, clear rules for when to hand over to a person, and proper testing. More in Conversation AI setup mistakes and our Voice AI setup guide.

7. The bill is higher than you expected

The plan price is only part of the cost. Phone, SMS, email, AI and some add-ons are billed by usage, and A2P has registration and monthly campaign fees.

How to check: open your billing and usage pages and list every line item for the last two months.

Common fixes: switch off add-ons you do not use, stop automations that send messages nobody reads, clean your contact list, and check whether your plan still fits how many sub-accounts you run.

When switching really does make sense

GoHighLevel is not right for everyone. Switching can make sense if:

  • You only use one feature (for example email newsletters) and a simpler tool does that for less

  • You need deep enterprise features, such as complex permissions or reporting that your company already runs in another CRM

  • Your team will never use a CRM day to day, no matter how it is set up

If you are comparing options, our HubSpot vs GoHighLevel breakdown covers cost and features side by side. And if you are moving in the other direction, into GoHighLevel, use the GoHighLevel migration checklist.

A quick 15-minute self-audit

  1. Trust Center: are your A2P brand and campaign approved?

  2. Email: do you send from your own domain with DMARC set up?

  3. Workflows: does each trigger appear in only one published workflow?

  4. Pipeline: do the stages match your real sales steps?

  5. Calendars: are confirmations and reminders switched on?

  6. Phone: is missed-call text-back working?

  7. AI: does the bot have a knowledge base and a hand-over rule?

  8. Billing: do you know every usage charge from last month?

If you answered "no" or "not sure" to three or more, the account needs fixing, not replacing.

Frequently asked questions

Why do people switch from GoHighLevel?

The most common reasons are text messages not delivering, emails landing in spam, confusing automations and unexpected usage costs. Most of these come from setup and can be fixed.

Is it hard to move away from GoHighLevel?

Contacts can be exported, but funnels, workflows, calendars and conversation history do not move directly to another CRM. They have to be rebuilt, which takes time and money.

Can you fix my existing GoHighLevel account instead of rebuilding?

Usually yes. Start with an audit that lists what is broken and what it will cost to fix, then decide.
