GoHighLevel Sub-Account Setup Checklist for Agencies (2026)
Every new client sub-account in GoHighLevel should be set up the same way, every time. A clear checklist stops missed steps, failed SMS, broken domains and unhappy clients. This is the GoHighLevel sub-account setup checklist we use for agency clients.
1. Before you create the sub-account
Collect business details: legal name, address, phone, website, time zone and business hours.
Get access: domain/DNS login, Google Business Profile, Facebook page and any ad accounts.
Agree the scope: which pipelines, calendars, funnels and automations are included.
Pick the snapshot you will load, if you use one (see GoHighLevel snapshots explained).
2. Create and configure the sub-account
Create the sub-account with the correct business name, address and time zone.
Load the snapshot, then review everything it imported.
Add users with the right roles and permissions.
Fill in business profile details and custom values (business name, phone, booking link and so on) so templates show the right information.
3. Phone, SMS and A2P
Buy or port a phone number in the client's area.
Submit A2P 10DLC brand and campaign registration (US numbers) with accurate details and a matching privacy policy and opt-in on the website. See why A2P gets rejected.
Set call forwarding, voicemail and missed call text back.
4. Email setup
Add a dedicated sending domain (a subdomain of the client's domain) and add the DNS records.
Check SPF, DKIM and DMARC. Full steps are in our email deliverability guide.
Set the default from name, from email and reply-to.
5. Domains, website and funnels
Connect the client's domain or subdomain for funnels and websites.
Publish pages, check mobile layout, forms and thank-you pages.
Add tracking (Google Analytics, Meta pixel) where needed.
6. Integrations
Connect Google Business Profile, Facebook and Instagram.
Connect Google or Outlook calendars for every user who takes bookings.
Connect payments (Stripe or another provider) if the client takes payments.
Connect lead sources such as Facebook lead ads.
7. CRM, calendars and automations
Set up the pipeline stages (see the pipeline setup guide).
Set up calendars, availability and reminders (see the calendar setup guide).
Publish the core workflows: speed-to-lead, reminders, no-shows, reviews and nurture (see 10 essential workflows).
Set up review requests and reputation settings.
8. Test everything
Submit every form with a test contact and follow the whole journey.
Book, reschedule and cancel an appointment.
Call the number and miss the call on purpose to test missed call text back.
Check emails arrive in the inbox, not spam.
9. Hand over to the client
Install the mobile app with the client and turn on notifications.
Walk through Conversations, Opportunities and Calendars.
Share a short written guide or recorded walkthrough.
